For memberships of the organisation we collect your Name, Address, Date of Birth, Telephone Number and Email Address. This is collected either by online membership application form or by a
written membership application form.
For general enquiries we collect your Name, Telephone Number, Email Address and any other information that you freely choose to provide in your enquiry. This information is collected by online form or by telephone call.
For bookings we collect your Name, Address, Telephone Number, Email Address and details of the organisation you represent (where applicable). This is collected by online booking form or by
written paper form.
We do not collect data from third parties.
How do we use personal information?
For memberships of the organisation we use the data to assess your eligibility for membership and to comply with the legal requirements of the Scottish Charitable Incorporated Organisations
Regulations 2011
For general enquiries we use the data to respond to your enquiry.
For bookings we use your data to provide the service and ensure payment for services is completed.
What legal basis do we have for processing your personal data?
For memberships of the organisation we are legally obliged to hold that data under The Scottish Charitable Incorporated Organisations Regulations 2011
Bookings and General enquiries are shared upon consent.
When do we share personal data?
Any member of the Fishermen's Hall Trust can request a copy of the current register of members, the only information that we are legally obliged to share is your name and date of registration.
All other information is held securely either electronically or in paper form and will not be shared with any other organisation or person out with the Board of Trustees.
Where do we store and process personal data?
Data is stored electronically and in paper form within the United Kingdom.
How do we secure personal data?
We use up to date anti-malware and virus software to protect against electronic data breaches.
Paper copies of information are kept securely in lock fast premises.
We ensure that trustees are trained on the importance of data security as well as the legal framework.
How long do we keep your personal data for?
Membership details are kept in line with the requirements of the Scottish Charitable Incorporated Organisations Regulations 2011. This means that information will be held for 6 years beyond the
cessation of membership.
General enquiry details may be held for up to 1 year.
Booking enquiry details may be held for up to 1 year post event.
Data held electronically is permanently deleted after the timeframes above, paper information is securely shredded.
Your rights in relation to personal data
You have the right to request the data we hold on you.
You have the right to correct or amend the data we hold on you.
You have the right to withdraw consent to hold data.
You have the right to object to the way we hold or process your data.
